Case study regarding Pperceptions of donor relations within a private liberal arts college

This study was designed to examine the donor relations process used within a private liberal arts college located in the southeast United States. The purpose of the study was to identify the qualitative elements of the process and their perceived impact upon fund raising outcomes. For purposes of the study, the donor relations process was comprised of five component areas (1) identification, (2) cultivation, (3) solicitation, (4) acknowledgment, and (5) recognition. Upon completion of a literature review, fifty-seven qualitative elements were identified and categorized by component areas. The research design selected as the primary method of inquiry was an exploratory embedded, single-case design. Data collection was conducted in two phases. The first phase included collecting data related to the selection of a college to study and data related to the selected college's fund raising revenues and expenditures. The second phase was conducted through nine site visits to the college to interview institutional advancement officials and review materials related to the donor relations process. Data analysis was conducted in two phases. The first phase examined fund raising revenues and expenditures. The second phase included coding interview transcripts and employing qualitative evaluation techniques (content analysis) to determine the perceptions of the advancement officials regarding which qualitative elements impacted fundraising outcomes. The findings of the analysis revealed that the college's fundraising revenues increased by 16\% in nominal dollars (not adjusted for inflation) over five academic years (1988-89 through 1992-93). Analysis of fundraising expenditures indicated that the college generated support with a relatively low dollar expense (10.1\%-14.7\%). The analysis also revealed that the college employed an informal approach in identifying, cultivating, soliciting, acknowledging and recognizing donors and prospective donors. The college incorporated forty-one of the fifty-seven qualitative elements as part of its donor relations process. Advancement officials perceived that sixteen of the forty-one qualitative elements impacted fund raising outcomes. The findings of the study yields information which will enable college advancement officials to evaluate the effectiveness of their donor relations process. Implications for future research provide for replication of the study to include donors as part of the interview process.
